Owner Approval: When Is Your Private Jet Actually Confirmed?
Owner approval means the aircraft’s owner must consent to the proposed charter before that aircraft can be finally committed.
It is one possible condition in a booking, not a universal requirement for every charter aircraft. Some operators have authority to accept bookings within an agreed framework. Others need approval for an individual trip. The important question is whether your particular offer is still conditional.
Why a managed aircraft can need permission
An aircraft can be operated by a professional aviation company while remaining owned by a private individual or another business. The operator handles the flying; the owner may retain rights concerning when and how the aircraft is available for charter.
A request may therefore be technically workable and attractively priced, yet still require a commercial release. The owner might need the aircraft for a personal trip, reserve particular days or apply conditions concerning destinations and use. The exact arrangement is specific to that aircraft.
This is not, by itself, evidence of an unreliable operator. It is a feature of part of the charter market. The problem arises when a conditional proposal is presented or understood as an unconditional confirmation.

A price is not the same as a commitment
Several stages can sit between an enquiry and a confirmed booking. The language varies, so ask what each statement means in the proposal you receive.

Do not treat this table as a universal industry booking system. It is a way to identify unanswered questions. Your contractual documents establish the actual obligations and confirmation mechanism.
What information can affect approval
The itinerary, dates, length of absence from base and intended use may all matter. Special cabin requirements or pets can introduce further conditions. Provide the full request at the beginning so the approval does not relate to an incomplete version of the trip.
For example, approval for two passengers on a day return should not be assumed to cover a later request for six passengers, a dog and an overnight stay. Some changes may be straightforward; others may require fresh consent or a different aircraft schedule.

There is no universal approval time
An answer may arrive quickly or require further discussion. It depends on the decision-maker, the management arrangement, the proposed flight and the completeness of the information. A confident generic promise is less useful than a specific update on the actual request.
Ask when the next update is expected and whether another suitable option is available if the answer does not arrive in time. A fixed meeting or connection gives the decision a deadline. Waiting indefinitely for a preferred cabin can reduce the alternatives.
Also check the quote’s validity. A price deadline, an aircraft hold and owner approval are not necessarily the same deadline. Having one does not automatically extend the others.
Clarify the relationship with payment
Before paying for a conditional booking, read how the agreement handles a failure to obtain approval. Ask whether funds are refundable, transferable to another option or subject to another stated process. Do not assume that “approval pending” makes every associated commitment reversible.
Likewise, sending payment does not necessarily override an explicitly outstanding condition. The answer depends on the contract and the confirmation you receive. If the two appear inconsistent, resolve the discrepancy before relying on the flight.

If the owner declines
The next step is to review alternatives against the original requirements. Check the full price and conditions again, even if the proposed replacement looks similar. Availability may have changed while the first aircraft was under consideration.
A different aircraft needs its own checks for luggage, cabin facilities, route and pet acceptance. Do not transfer the first aircraft’s approvals by assumption. If a child restraint was confirmed, its suitability also needs checking against the new seating arrangement.

Approval does not remove operational limits
Owner consent cannot make an unsuitable runway usable or extend a crew’s permitted working time. Weather, technical status, airport access and other operational conditions remain the operator’s responsibility. A commercially approved trip can still encounter an operational change.
This distinction helps set realistic expectations. Ask separately whether the aircraft has been released for your booking and whether any flight-specific operating conditions remain unresolved. “Approved” is useful only when you know what has been approved.
Five questions before you rely on the aircraft

- What is the status of the hold and price validity?
- What happens to payment if approval is refused?
- What suitable alternative can we consider before my decision deadline?
