For an initial enquiry, share the route, dates, passenger count and the time your client needs to arrive. If the schedule is flexible, describe that flexibility. Include luggage, pets and any assistance required before aircraft options are considered.
Next, explain your role in the trip and how you would like communication to work. A travel advisor arranging a holiday may need different information from an executive assistant coordinating several meetings. Agree who collects passenger details, who receives proposals and who can approve changes.
What to clarify before a booking
Charter partnerships work best when responsibilities are clear. Discuss the parties involved, the booking process and any commercial arrangements before presenting a confirmed offer to your client. These details should be agreed for the actual working relationship.
For example, an initial budget estimate is different from an offer for an available aircraft. When plans change, the operator may need to reassess the schedule or price. Therefore, keep one current version of the itinerary and share changes promptly.
